About the Programs
Thank you for your interest in the Associated Students of the University of Montana (ASUM) child care center programs. The centers serve children of students, staff, faculty and the community. The program is funded by student activity fees, parent fees, state and federal funds, and The University of Montana.
Program Goal
Provide quality child care and early education services at a reasonable cost to students and The Univeristy of Montana faculty and staff. Quality child care is much more than babysitting.
Program Options and Rates
Children’s Early Learning Center I – Located at McGill Hall, Rm 001A, Main Campus
- Children ages 19mo. - 3; toilet trained NOT required.
- Full day enrollment option only = $29.25 per day. Fac/Staff = $670/month
- Minimum 2 days per week enrollment
Children’s Early Learning Center II – Located at 113A Craighead, University Villages
- Children ages 19mo - 3; toilet trained NOT required.
- Full day enrollment option only = $29.25 per day. Fac/Staff = $670/month
- Minimum 2 days per week enrollment
Children’s Learning Center I – Located in McGill Hall, Rm 001, Main Campus
- Children ages 3-5; children MUST be completely potty trained.
- Full day enrollment option only = $29.25 per day. Fac/Staff = $670/month
- Minimum 2 days per week enrollment
- Closed winter and spring breaks
Children’s Learning Center II – Located at 115A Craighead, University Villages
- Children ages 3-5; children MUST be completely potty trained.
- Enrollment options include, full day, AM (7:30-12:30) = $20.00 per hour. Fac/Staff = $670/month
- 1 hour blocks (minimum of 2 hours) = $5.75 per each hour block.
- Minimum 2 days per week enrollment
Hours
All centers are open Monday-Friday from 7:30-5:30.
Calendar
- All programs are closed all University holidays.
- Children’s Learning Centers I and Early Learning Center I are open during winter and spring breaks.
- Children’s Learning Center II and Early Learning Center II are closed during winter and spring breaks.
Meals
- A nutritious breakfast, lunch and PM snack are served each day.
- The program participates in the USDA Child and Adult Food Program receiving funds for the service of meals and snacks that meet program requirements.

Health and Immunizations
- Children must be adequately immunized (1DPT, 2-4 Polio, 3MMR. 1 HIB, 1 Var) before attendance in the program and must be adequately immunized to remain in the program.
- Immunization record signed by health authority/physician is required. Only a medical exemption is allowed.
Staff
- Each center is staffed with an AM teacher from 7:30-3:30 and a PM assistant teacher from 9:30-5:30.
- Each center is also staff with student teacher aides who come and go between classes.
- A ratio of 1 to 7 children is maintained in each preschool center and 1 adult to 4 children in the Early Learning Center.
The Curriculum
- The program emphasizes developmentally appropriate practices for each age group.
- Weekly activities are planned to include all areas of child development.
- Teacher directed, large group, small group and free choice times are a part of the daily routine.
- A daily schedule is posted at each center if you desire more information.
Waiting List
- The program maintains a waiting list.
- The waiting list date for eachindividual is the date the program offic is contacted and a request is made to be placed on the waiting list.

Enrollment Conference
- An enrollment conference is arranged for fist time enrolled children.
Enrollment Packet
- Enrollment packet contains information and releases is required for licensed programs.
- Packet must be returned to program office or center 24 hours before your child starts.
- Packets are NOT accepted on the first day of care.
- Child is accepted into care ONLY if packet is complete and with child’s immunization record.
Enrollment
Enrollment Begins
- Regardless of actual start date, child is considered enrolled at the time a placement is accepted.
- Enrollment is for the entire semester, including finals week, as contracted.
Drop/Add Schedule Changes
- All drop/add schedule changes must be made within the first 10 days of each semester.
- Schedule days after the first 10 days of the semester may be assessed a $10 fee.
- Drop schedule changes are NOT accepted within the last 3 weeks of any semester.
- Adding days is accepted only if an opening is available.
Absences
- Please notify center teach of absences.
- Billing credit is NOT given for any absent days regardless of reason. NO EXCEPTIONS.
- Billing credit is NOT given for contracted days during finals week that are not used.
Cancellation of Services After Care Has Begun
- Written notice is required.
- Ten days notice must be given
- Enrollment cancellation within the first 10 days of care is billed for 10 days of care plus a $25 registration fee.
- Enrollment cancellation after the first 10 days of care, but prior to the end of the semester is billed a $10 processing fee. 10 days notice is required.
- Enrollment cancellation is NOT accepted within the last 3 weeks of any semester.
Cancellation of Services Prior to the Start of the Semester
- Ten days notice prior to start of semester is not assessed any fees.
- Five days notice prior to start of semester is billed for 5 days of care plus a $10 processing fee.
- Less than 5 days notice prior to the start of semester is billed for 10 days of care plus a $10 processing fee.
- A “No Show” cancellation is billed for 10 days of care plus a $25 registration fee.
Late Pick Up Fee
- a fee of $1 per five minutes is charged for failure to pick child up at closing time, or time as contracted.
Billing
- Billing starts from approved enrollment starting date and is as contracted.
- Additional days used that are not contracted are billed at the daily rate. Only 3 additional days are allowed per sem.
- Billing is done by the month, in advance.
- Bills are put onto CyberBear account.
Uof M Business Services
- All billing is handled by The University of Montana Business Services for students, staff and faculty.
- Bills are part of your University CyberBear account.
- Financial aid may be used to pay child care account.
Finals Week Billing
- No credit is given for day not used during finals week.
- Cancellation is NOT accepted within the last 3 weeks of any semester.
Due Dates
- Payment is due for each month in advance.
- The advance payment is due by the date indicated by UM Business Services.
- Late payment fees are assessed by UM Business Services.
Payment
- Payments are to be made to Griz Centeral as per UM Business Services policy.
- The ASUM Child Care, Preschool Program office does NOT accept payments.
Outstanding Balance and a Registration Hold
- Registration for classes may be prohibited if account is past due as per UM policy.
Past due accounts
- If an account is in default UofM may initiate collection proceedings on unpaid principle and allowed interest, as well as any attorney fees or other costs or charges necessary for collection of any and all balance due.
- If account is referred for collection, the account may be reported to your credit as a collection item.
- The ASUM Child Care Preschool Program reserves the right to cease services should an account become delinquent for more than 60 days.
State/Agency Program Participants
- All program policies and fees per this contract apply.
- Participants are responsible for payment of all fees and any monthly balance NOT paid by State/Agency.
Due to limited enrollment capacity of the center programs and the need to maintain full enrollment at all times, the above polices are enforced. Please consider these policies to be in your child’s best interest so that we may provide your child with quality child care and early education experiences.

Application Deadlines
Autumn Semester 2012
- If a applying for enrollment for Autumn Semester 2012 – Application is available on line at the end of June 2012
- Deadline – Application must be signed and returned to the program office by Jul 22, 2012 for waiting list date to apply and to be guaranteed a placement if re-enrolling from spring 2012 or summer 2013.
The enrollment process will start on around Jul 22, 2012.
Enrollment cancellation to avoid assessment of fees is around Aug 10, 2012.
Spring Semester 2013
- If a applying for enrollment for Spring Semester 2013 – Application is available on line Nov 1, 2012.
- Deadline – Application must be signed and returned to the program office around Nov 22, 2012 for waiting list date to apply and to be guaranteed a placement if re-enrolling from autumn semester.
- The enrollment process will start around Nov 22, 2012.
- Enrollment cancellation to avoid assessment of fees is Dec 10, 2012.
Summer Semester 2013
- If a applying for enrollment for Summer Semester 2013 – Application is available on line Feb 26, 2013.
- Deadline – Application must be signed and returned to the program office by Apr 15, 2013 for waiting list date to apply and to be guaranteed a placement if re-enrolling from autumn semester.
- The enrollment process will start on Apr 19, 2013.
- Enrollment cancellation to avoid assessment of fees is May 3, 2013.
Re-Enrollment Procedure
Re-Enrollment Application Deadlines
- If application is returned completed to the program office by the posted deadline for your child is automatically re-enrolled.
- If application is returned completed to the program office AFTER the posted deadline, your child is enrolled only if an opening is available.
Re-Enrollment Placement Process
- Your child is automatically enrolled in the center as per your new enrollment schedule.
- If for any reason we cannot accommodate your new enrollment schedule you will be contacted.
- All program enrollment, billing, and cancellation policies apply.
Re-Enrollment Cancellation
- Cancellation by posted deadline is not subject to any fees. Cancellations after this date are subject to fees.

First Time Enrollment Procedure
First Time Enrollment Deadlines
- Application is due in the program office as posted for waiting list date to apply for initial enrollment.
- Once the application is received in the program office it is stamped with individual’s waiting list date. This is the date is when you contacted the program office and requested your name be placed on the waiting list.
- On the enrollment start date all applications received in the program office are put in order according to waiting list date.
First Time Enrollment Process-Telephone and Email Contacts
- For a period of 4 days after the enrollment start date the waiting list date will apply for initial enrollment.
- Four attempts by phone, or email will be made to contact applicants following the waiting list date.
- If by the end of the 4th day we have been unable to reach you by phone, or you have not responded to our email we will proceed to the next person on the waiting list.
- Starting on the 5th day after the enrollment start date, the waiting list date will no longer apply. All remaining openings are filled on first come/contacted first enrolled.
Cancellation of First Time Enrollment
- Cancellation by posted deadline is not subject to any fees. Cancellations after this date are subject to fees.

Filling Late Enrollment Openings Procedure
Telephone/email contacts are made only until all openings have been filled. Once all openings have been filled you may not receive information on your child’s place on the waiting list, however your are encouraged to contact the program for this information
Filling Openings that Occur After the Enrollment Telephone Contact Time
- Openings are filled according to waiting list date for only the first 4 days of the enrollment process.
- Openings that occur after the enrollment contact time are filled according to first contacted first enrolled.
- Openings that occur due to any schedule changes or cancellation of services are filled according to first contacted first enrolled.
